Executive Assistant - TWS

Based on site in our San Jose Office The Role and Team We are looking for an enthusiastic, experienced, adaptable, and highly organized Executive Assistant to provide comprehensive support to the General Manager of Team Workspace Solutions (TWS), the TWS Leadership Team, and the broader TWS organization . This is a high-trust, highly visible role at the center of a fast-moving, global business. The successful candidate will be an exceptional Executive Assistant as well as a proactive problem solver and team enabler—someone who anticipates needs, connects the dots, navigates complexity, and helps the organization operate effectively. No job is too big or too small. On any given day, you may be coordinating a complex international itinerary for the GM, planning a Leadership Team offsite, organizing an event for 250 employees, helping resolve an urgent shipment stuck in customs, or figuring out how to get a product order to the right person in the right country. You are comfortable moving seamlessly between strategic, highly confidential executive support and the practical details that keep a global team moving. You will work closely with the GM and TWS Leadership Team and may provide support to other executives on an ad hoc basis. In this role you will: Provide high-level executive support to the GM of TWS, managing a complex calendar, prioritizing competing demands, anticipating conflicts, and helping ensure the GM’s time is focused on the highest-value priorities. Coordinate complex domestic and international travel, often across multiple countries and time zones, including flights, accommodations, ground transportation, visas and travel requirements, schedule changes, and detailed itineraries. Develop a strong understanding of the GM’s priorities, the TWS business, Leadership Team, and key stakeholders in order to anticipate needs and proactively keep work moving. Coordinate Leadership Team meetings, business reviews, onsites and offsites, including agendas, logistics, materials, meals, venues, travel, and follow-up actions. Plan and execute events of varying scale, from small Leadership Team gatherings to global or regional employee events for hundreds of people, including venues, meals, volunteer activities, vendors, communications, and onsite execution. Prepare, edit, and proofread emails, presentations, reports, meeting materials, and other communications, ensuring clarity, accuracy, and appropriate executive-level quality. Track key meetings, decisions, commitments, and follow-up actions and help ensure important items do not fall through the cracks. Serve as a trusted point of contact for the TWS organization, building strong relationships across functions, geographies, and levels of the company. Be a resourceful problem solver for the team. This may include navigating internal systems and processes, coordinating iStore/product orders, resolving shipping or customs issues, securing equipment, working with vendors, or finding the right person internally to solve an unfamiliar problem. Own and coordinate new employee onboarding for the TWS team, including information sharing, equipment, access to communication channels, introductions, and support for hiring managers. Support customer and partner visits, ensuring a professional and seamless experience from planning through execution. Process expense reports, invoices, purchase orders, and other administrative requirements and assist with budget tracking as needed. Support special projects and initiatives, bringing structure to ambiguous work, coordinating stakeholders, tracking progress, identifying risks, and driving actions through completion. Maintain strong relationships with the broader global EA community and collaborate across executive offices to coordinate schedules, events, travel, and company priorities. Maintain strict confidentiality and exercise sound judgment when handling sensitive business, employee, and executive information. Provide backup or ad hoc support to other executives and teams when business needs require it. Key Qualifications Bachelor’s degree or equivalent relevant professional experience. Significant experience as an Executive Assistant or in a comparable role supporting senior executives in a complex, fast-paced corporate environment. Demonstrated experience supporting global executives and teams, with a strong understanding of the practical realities of working across countries, cultures, and time zones. Experience coordinating complex international travel, including multi-city itineraries, changing schedules, and international travel requirements. Strong bias for action and a demonstrated ability to take ownership of an issue and drive it through resolution. Exceptional resourcefulness and problem-solving ability. You may not immediately know the answer, but you know how to find it. Excellent organizational, time-management, and prioritization skills, with the ability to manage multiple competing priorities without losing attention to detail. Strong judgment and corporate maturity, including the ability to determine what requires escalation and what can be handled independently. Exceptional written and verbal communication skills and the ability to interact comfortably with senior executives, employees, customers, partners, and vendors. Ability to operate effectively in ambiguity and adapt quickly when plans or priorities change.
