Workplace Experience Specialist Montreal, Canada – Onsite The Workplace Experience team oversees workplace environments and the related employee experience globally and provides and maintains spaces that are vibrant, fresh, branded, and inspiring. The team also provides relevant services and amenities that differentiate EA as an employer of choice and support EA's ability to attract and retain the talent needed to power our Company. The Workplace Experience team focuses on creating experiences and spaces that: Directly affect employee effectiveness Provide a healthy physical office environment Create a physical setting and workplace experience that reflects local culture Build community and connectedness among our people Directly help foster EA's values Apply best practices in environment design You, and the Workplace Experience team, will focus on our office environments, including directly coordinating location operations, health and safety, workplace design, onsite and contracted services, and employee community and experiences. You will work with the People Experience, Real Estate, IT and Security, and with Studio important partners for integrated programmes and events planning and delivery. You will report to the Workplace Experience Manager (Site Lead). You will: Provide direct support, project assistance and tactical operational assistance to the WE Site Lead Develop working relationships with departments, support partners and other team members Understand vendor negotiations and cost management while ensuring high-level service Directly oversee third-party vendors office services – Ricoh (Mail Services, company store, concierge, help desk management, admin support, space support and food and beverage programme support) Responsible for EA Montreal Company Store offering and management. Be responsible for WE communications in partnership with Site Lead, including engaging on Studio Slack channels on behalf of Workplace Experience and ensuring websites and digital displays content is updated and engaging. Plan and implement Studio-wide events and engagement programmes with the Site Lead. These programmes involve coordination with other studio culture partners, including IT, AV, furniture set-up, catering, and offsite event vendor coordination. Develop and implement processes, procedures and programming related to all Workplace Experience functions in partnership with Site Lead. Introduce and implement new programming and services. Support the onsite Occupational Health Programme, participate in quarterly joint Health and Safety reviews and conduct workplace inspections tracking corrective actions. Uphold studio cleanliness and aesthetics to EA standards, suggesting improvements and support critical studio infrastructure preventative maintenance plan. Support sustainability programming and related utility data collection. Work with Studio and other support departments on new hire onboarding and employee and departure processes, and the Return to Office Programme. Responsible for space planning and office moves, keeping the seating database updated. Source contractors for equipment repairs, non-warranty property work that is outside the scope of the property manager. Assist the Site Lead in the quoting, bidding, purchase request/PO process, and management of vendors. Help with planning, coordinating, estimating, and scheduling maintenance and buildout projects. On call 24/7 availability in case of emergency. Respond immediately to unplanned or emergency situations, under the guidance of direct manager or another management team member, within or outside the standard work schedule or circumstances.
